The successful candidate provides the highest level of support to the Vice President of Academic Affairs/Provost in operational and administrative details and performs administrative functions that require a thorough knowledge of CCCS and CCHE policies and procedures; Uses discretion in the dissemination of information to faculty, students, staff and the various constituencies served by the CCCS Education Services Unit. The executive assistant also serves in an administrative support capacity for two additional managers. 

  • Organizes and completes varied and complex administrative duties for the Office of Vice President/Provost; Serves as a primary point of direct administrative contact and liaison between the Vice President/Provost and CCCS College administrators.
  • Responsible for maintaining calendar for Vice President/Provost; responsible for managing office functions for the office including monitoring budgets and expenditures, preparing HR and fiscal documentation, and organizing travel to various meetings and events.
  • Coordinates all Academic Affairs compliance with web accessibility issues including updating existing documents to make all academic affairs web pages ADA accessible. 
  • Coordinates state meeting logistics including the fall faculty to faculty (2:2), State Faculty Curriculum Committee, Vice President Council, and Educational Services Curriculum meetings; Prepares course approval documentation for CCHE; Assembles, prepares and distributes agendas, minutes and supplemental materials; attends a variety of meetings and records proceedings; Prepares comprehensive official minutes; maintain official records of decisions.
  • Responsible for maintaining current knowledge of all CCCS fiscal and HR policies and processes. Processes paperwork as necessary on behalf of Vice President/Provost to ensure prompt payment to vendors and contractors.
  • Bachelor’s degree. Progressively related work-related experience may substitute year for year for the Bachelor’s degree.
  • Two years of progressively responsible experience as an executive assistant in a customer service driven environment.
  • Experience must have included utilizing MS Office products including Word, Excel, Access, PowerPoint, and Outlook (to calendar meetings and events.) 
  • Work experience in academic or student affairs as an administrative/executive assistant in the office of a Dean level or higher.
  • Detailed experience working with Banner.
  • Experience working with consortium or multiple colleges.
  • Evidence of ability to work as an effective team member.
  • Experience with Elluminate! Software and meetings.
